Event Planner for the Technology Department
Reporting to the Head of Analytics, the temporary Event Planner will play a key role in organizing and executing the inaugural AI Summit, bringing together staff, stakeholders, funders, and members of the public. You will be responsible for overseeing all logistical aspects of the event to ensure a seamless and impactful experience. This position requires strong organizational, problem-solving, and stakeholder engagement skills.

These teams play a crucial role in supporting the organization's mission by providing impactful data analysis, engineering expertise, and innovative product solutions. Their work spans across areas such as privacy, security, product design, and creating digital solutions to promote the organization's message and grow its supporter base.
Description
- Collaborating with the Technology team to develop and manage a strategic plan for the event, including critical deliverables, timelines, VIP invitations, and task assignments.
- Coordinating event logistics such as catering, registration, communication with attendees, and day-of activities (e.g., tech setup, check-ins).
- Designing the event program in partnership with team members, including keynotes, panels, and networking opportunities.
- Managing invitations and RSVPs from current and prospective funders, staff, and public registrants.
- Acting as the primary point of contact for key event participants, including venue staff and speakers.
- Working with the marketing team to create and execute an integrated promotion strategy via email campaigns and social media.
- Ensuring smooth execution on the day of the event, handling registration, speaker coordination, and troubleshooting as needed.
- Managing post-event follow-up activities.
- Navigating fast-paced timelines and deliverables to ensure deadlines are met.
Profile
- Proven experience in planning and executing medium to large-scale events, ideally in tech or nonprofit environments.
- Exceptional interpersonal and communication skills to engage a wide variety of stakeholders, including funders and academics.
- Strong experience with event management tools and setting up hybrid events.
- Ability to work under pressure, think critically, and solve problems on the spot.
- Strong emotional intelligence and multitasking skills.
- Creativity and a proactive approach to achieving desired outcomes.
- Comfort in handling ambiguity with a flexible, entrepreneurial mindset.
- Excellent stakeholder management and communication abilities.
PREFERRED QUALIFICATIONS
- A passion for organizing impactful events.
- Undergraduate or advanced degree in event management, public relations, marketing, communications, or a related field (or equivalent experience).
- Experience in nonprofit, communications, or public relations-focused roles.
- Strong organizational skills with the ability to manage multiple moving pieces and meet critical deadlines.
- Familiarity with science or technology-focused events and event planning, or a strong interest in quickly learning about them.
- Experience with public speaking, presentations to diverse audiences, or donor communications.
