Client Intake & Records Management Coordinator
This client is seeking a detail-oriented and highly organized professional to join our team as a Client Intake & Records Management Coordinator. This position plays a crucial role in supporting new business processes and maintaining off-site file archives. The ideal candidate will be comfortable handling confidential information, collaborating across departments, and ensuring data accuracy within internal systems.

Description
- Coordinate the intake of new client and matter information, ensuring all required documentation and approvals are received
- Conduct background searches to identify potential conflicts of interest and escalate findings to the appropriate review team
- Accurately input and update client and matter data in the firm's internal database
- Collaborate with administrative staff to correct or complete incomplete submissions
- Track and manage client identification exceptions and approval records
- Reconcile daily intake activity with internal reporting to ensure accuracy
- Generate and maintain detailed reports of off-site records and research the status of closed files
- Identify archived materials eligible for destruction and maintain logs of pending and completed actions
- Support special projects and process improvements as assigned
Profile
- Bachelor's degree preferred
- Strong proficiency in Microsoft Office applications; experience with database systems and document management software a plus
- Meticulous attention to detail with a focus on accuracy and consistency
- Ability to prioritize tasks and manage time effectively in a deadline-driven environment
- Clear and professional communication skills, both written and verbal
Job Offer
- Salary range: $55,000 - $65,000, depending on experience
- Comprehensive benefits package, including medical, dental, and vision
- Twenty-five (25) days of PTO annually
- Thirty-five (35) hour work week
- Overtime eligible (non-exempt role)
