Billing Coordinator
The Billing Coordinator will oversee the full client billing cycle, working closely with partners and legal teams to ensure accurate, timely invoices that comply with firm and client policies. This role requires strong communication, attention to detail, and the ability to manage multiple billing processes in a fast-paced legal environment.

Description
Manage the entire monthly client billing process, including preparing and distributing prebills and final invoices
Coordinate with partners, associates, and secretaries to process billing comments and revisions
Monitor and obtain approvals for time transfers, disbursements, and write-offs according to firm policy
Prepare, submit, and track e-bills, updating workflow notes as needed
Ensure bills are posted accurately in the billing system and sent to clients with proper electronic backups
Communicate proactively with billing partners about billing status, fee arrangements, and special client agreements
Monitor Work in Progress (WIP) and aging levels to help partners meet billing goals
Review matters for compliance with client agreements and outside counsel billing guidelines
Set up new matters accurately with the correct billing codes, rates, discounts, and file numbers
Coordinate with Accounts Payable to resolve vendor discrepancies
Maintain billing files and documentation in line with firm policies
Respond promptly to partner and client billing inquiries
Escalate billing issues to the Billing Manager or Regional CFO as needed
Prepare monthly billing projections and various billing reports and analyses as requested
Profile
The ideal candidate is a detail-driven billing professional with solid experience in legal billing operations and excellent communication skills. They are proactive, adaptable under pressure, and skilled at managing multiple deadlines while maintaining strong relationships with both internal teams and external clients.
