New Business and Archived Records Specialist
The New Business and Archived Records Specialist plays a critical role in managing the intake of new clients and matters by conducting conflict checks, reviewing submissions for accuracy, and ensuring all data is accurately recorded in internal systems. The position also oversees the organization, tracking, and destruction of archived records, ensuring compliance with internal procedures and regulatory requirements.

Description
The role involves performing conflict checks on new clients or matters, logging search details, and presenting potential issues to a Conflicts Committee for further review. The specialist reviews and verifies New Matter Memo Requests and Change Forms to ensure completeness and accuracy, coordinating with internal teams to resolve any discrepancies. Responsibilities also include assigning new client and matter numbers, entering information into a case management system, and monitoring attorney notices related to newly added parties. On the records side, the role includes generating reports on archived files, researching the contents and status of off-site boxes, and maintaining logs of files approved for destruction, ensuring detailed documentation throughout the process.
Profile
- Brings a strong administrative or legal operations background.
- Proficient in Microsoft Office Suite, especially Excel and Outlook, and ideally familiar with iManage and Aderant.
- Highly organized with excellent attention to detail and accuracy.
- Skilled at managing competing priorities and deadlines in a fast-paced environment.
- Strong verbal and written communication skills and a collaborative approach to working with others.
