AP/AR Accountant - Quickbooks

Our client, a well-established food distribution company based in The Bronx, is looking for an experienced Accountant. This is a FTE role, and the successful candidate will have Quickbooks & 3+ years of AP/AR experience.

Client Details

Well-established food distribution company based in The Bronx. This role is 5 days per week in office, and offers an individual with Quickbooks experience & 3+ years of AP/AR experience a chance to work within a stable department at one of the region's biggest food distributors.

Description

This role will involve:

Accounting and Financial Administration

• Reconcile monthly bank and check reports; ensure cleared checks match issued ones.

• Process all accounts payable and receivable in QuickBooks, verifying invoice dates and payment accuracy.

• Enter monthly credit card transactions and assign general ledger codes.

• Scan, label, and electronically file all bills; maintain organized digital records by year.

• Monitor outstanding checks and follow up with vendors to confirm receipt or request stop payments if needed.

Billing and Invoicing

• Generate and email monthly rent, parking, and advertisement invoices through QuickBooks.

• Verify accuracy of memorized transactions and maintain proper invoicing sequences and file attachments.

• Manage recurring billing cycles and coordinate with internal staff for tenant charge updates or corrections.

Tenant and Vendor Coordination

• Maintain up-to-date tenant and subtenant files, ensuring current certificates of insurance, subleases, loan agreements, and other compliance documents.

• Track and calendar renewal and expiration dates for insurance and license documents.

• Enter and file tenant work orders, saving and attaching all supporting purchase orders and scanned documentation.

• Maintain and update vehicle records, customer decals, and related systems (WinPak, Flash Parking).

Office Administration

• Answer and route calls, check voicemail and fax messages daily, and direct information to relevant team members.

• Maintain organized digital and physical filing systems for contracts, work orders, and vendor files.

• Support administrative needs such as scanning, copying, and ad hoc internal reporting.

• Uphold confidentiality and professionalism when handling sensitive financial and client information.

Profile

The successful candidate will have:

• 2+ years of experience in bookkeeping, billing, or administrative coordination (QuickBooks experience required).

• Strong organizational and file management skills; high attention to detail.

• Competency in Microsoft Office (especially Outlook and Excel) and comfort learning system integrations.

• Excellent written and verbal communication skills.

• Ability to manage multiple priorities and meet recurring monthly deadlines.

• Notary Public license preferred or willingness to obtain one after hire.
