Grants/Contracts Budget Manager
Our client, a well-known nonprfoit organization based in Manhattan, is looking for an experienced Grants/Contract Budget Manager. This is a temp to perm role, and the successful candidate will be immediately available to start a new role.
Client Details
Well known, well-established nonprofit organization based in Manhattan. This role is 4 days per week in office with 1 from home, and offers a chance to develop contract budgets for one of the premier nonprofits impacting the aging population in NYC.
Description
This role will involve:
- Develop contract budgets, budget modifications and RFP budgets for New York City and State government agencies, working with Program Management.
- Develop budgets and grant reports for Foundations, in collaboration with Development.
- Develop new protocols and cost allocations for new contract awards and maintain cost allocation for current contracts.
- Coordinate contract documentation for submission to funders. Prepare contract documents for signature and obtain insurance certificates. Submit onto NYC websites Passport, SFS and others as required.
- Oversee yearly planning of contract renewals, budget modifications and close outs to ensure their quality, timeliness and accuracy.
- Assist as necessary with the preparation of monthly, quarterly, annual invoices for all contracts.
- Assist the Development Department with developing grant budgets, reporting and financial queries.
- Assist with the development of the annual organizational budget and reforecast. In utilizing software, update Personnel, Admin and Program budgets with Executive and Program Management, provide input for draft executive summary.
- Coordinate with auditors regarding document requests, analysis and findings for government contract audits.
- Prepare monthly reports on all awards to be distributed monthly by email after financial close, updated reports due to staff and contract changes and assist Program Management to answer their questions on an ongoing basis.
- Prepare and distribute monthly financial reports to administrative department managers with explanation of variances versus the approved budget
- Prepare and submit tri-annual Indirect Cost Rate (ICR), working closely with auditors.
- Prepare and submit Subcontractor logs and documentation to be compliant with NYC agencies requirements.
- Lead training sessions on budgeting, reporting and current procedures.
- Serve as a liaison to Program Management to answer questions about budgets, contract spending, contract compliance and specialized analysis requests.
- Assist in the implementation of internal controls and financial policies and procedures.
- Identify and drive process improvements that lead to greater workflow efficiency
- Perform other duties as required
Profile
The successful candidate will have:
- Demonstrate expert command of grants administration of social service programs funded by state and city funds, including HRA, DOHMH and, DFTA.
- Strong administrative skills - able to handle a high-volume of transactions and reporting requirements.
- Should have worked in a complex largely governmentally funded nonprofit, in an independent managerial position.
- Must be strong at multi-tasking, prioritizing and have demonstrated expertise in proactively working on projects of wide scope and significant magnitude.
- Excellent written and oral communication and relationship skills with an ability to prioritize, negotiate and work with a variety of internal and external stakeholders.
- Advanced knowledge of Excel and familiarity with other Microsoft applications including PowerPoint, Word and Visio.
- Must be computer literate, including ability to learn and use program specific software, expert knowledge of Intacct and Adaptive a plus.
- Ability to read, write, speak, understand English.
