Assistant Managing Clerk
This role supports the Managing Clerk's Office by handling court filings, docketing, deadline management, and providing expert guidance on court procedures. Description
- Oversee the full lifecycle of court filings, including reviewing, preparing, and submitting documents across federal and state courts while ensuring strict compliance with procedural rules and jurisdiction‑specific requirements.
- Maintain and update litigation calendars by analyzing, calculating, and entering deadlines using advanced docketing systems, ensuring accurate tracking of trial, appellate, and arbitration timelines.
- Serve as a procedural resource for legal teams by researching, interpreting, and advising on court rules nationwide, ensuring filings and litigation activities meet all local, state, and federal standards.
- Coordinate the service of process, manage relationships with external vendors, and oversee document handling logistics to support time‑sensitive litigation needs.
- Collaborate closely with attorneys and support teams to anticipate upcoming case requirements, manage competing priorities, and execute special projects assigned by the Managing Clerk.
Profile
- Has 3+ years of experience in a Managing Clerk/Attorney's Office or 5+ years as a litigation paralegal, with proven expertise in court filing, docketing, and calendaring.
- Advanced proficiency with electronic filing systems such as PACER, NYSCEF, File&Serve Xpress, and other state platforms, along with strong skills in docketing software like CourtAlert, MA3000, or Compulaw.
- Ability to interprets deadlines across multiple jurisdictions, including trial, appellate, and arbitration matters, with exceptional accuracy and attention to detail.
- Highly organized, able to manage high‑volume workflows, prioritize competing deadlines, and work independently while proactively anticipating litigation team needs.
- Strong communicator with the ability to interpret procedural rules, collaborate effectively in a team environment, and utilize tools like Microsoft Word, Outlook, Teams, Edge, Adobe Acrobat, and Excel.
