Office Administrator (Chicago)
The Office Administrator role in Chicago leads the legal support staff for a 200+ person office, working closely with both the Global Director of Administration and the Office Managing Partner.
Client Details
This is a top ranked law firm with offices all over the US. The Chicago office has 200+ employees with about a 50/50 split of attorneys and staff. This is onsite position.
Description
- Lead, mentor, and manage a team of 10+ legal secretaries, ensuring high-quality administrative support.
- Oversee workflow delegation, workload balancing, performance management, and professional development to maintain efficient operations.
- Partner with attorneys, office leadership, and administrative departments to optimize processes, improve service delivery, and ensure compliance with firm policies.
- Manage and oversee day-to-day office operations to ensure efficiency and productivity.
- Coordinate administrative support services, including scheduling, communication, and supplies management.
- Implement and maintain office policies and procedures.
- Coordinate with Events team for in-office and offsite events.
- Serve as the primary point of contact for internal teams and external vendors.
- Monitor and manage office budgets, expenses, and financial records.
- Support the onboarding of new employees and summer associates.
- Ensure compliance with health, safety, and other regulatory requirements.
- Foster a professional and collaborative office environment.
Profile
A successful Office Administrator should have:
- 5+ years of management experience, ideally within a multi-office legal enviroment
- Prior experience as an executive assistant or legal secretary strongly preferred
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in office software and administrative systems.
- A detail-oriented mindset and problem-solving skills.
- A proactive and adaptable approach to managing tasks and challenges.
Job Offer
