Executive Legal Assistant (Mergers and Acquisitions)

This firm seeking a seasoned Executive Legal Administrative Assistant to support one of the firm's top-performing partners in the Mergers & Acquisitions and Private Equity practice. This is not your average legal admin role - the ideal candidate is a proactive gatekeeper, business-minded, and deeply embedded in the client service model. You will be the right hand to a highly productive partner, serving as the central point of contact for internal teams and external clients.

Description

  • Serve as the primary administrative liaison for the partner, functioning as a gatekeeper and prioritization engine
  • Proactively manage complex calendars, meeting logistics, high-volume scheduling, and frequent travel arrangements
  • Draft, format, and manage confidential correspondence, engagement letters, closing binders, and transaction-related documentation
  • Actively engage with client teams, anticipating needs and maintaining trusted relationships with key stakeholders
  • Lead and own the administrative flow of deal work: manage deadlines, coordinate signatures, liaise with internal departments (billing, conflicts, marketing, etc.)
  • Manage email inboxes and triage correspondence with urgency and discretion
  • Handle time entry, expense reporting, and billing support with precision and speed
  • Stand in the way of red tape - identify and eliminate administrative roadblocks so the partner and team can focus on execution
  • Maintain deep familiarity with client accounts, contacts, and firm protocols

Profile

  • 7+ years of experience supporting senior legal partners or executives in high-stakes corporate environments
  • Strong working knowledge of M&A and Private Equity terminology, deal structure, and legal documentation
  • Demonstrated ability to manage the pace, complexity, and confidentiality of a high-volume transactional practice
  • Executive-level polish, with excellent judgment, tact, and presence
  • Proficiency in Microsoft Office Suite (especially Word, Outlook, Excel) and document management systems
  • Deep understanding of engagement letters, compliance processes, and legal administrative best practices
  • Comfortable working long hours and being available beyond the standard 9-5 when deal flow requires it
  • Highly proactive with a no-task-too-small attitude; anticipates needs before they arise
