Purchasing & Accounting Specialist
Our client, a well-established construction company based in Waldwick, NJ, is looking for an experienced Purchasing & Accounting Specialist. This is a FTE role, and the successful candidate will have 5+ years of Purchasing, AP & AR experience & prior construction experience.

Well-established construction company based in Waldwick, NJ. This role is 5 days per week in office, and offers an individual with construction industry experience & 5+ years of Purchasing, AP & AR experience a chance to join a stable team.
Description
This role will involve you to:
Purchasing- Serve as primary purchasing agent for materials, equipment, and subcontracted services
- Solicit and evaluate vendor quotes to ensure cost efficiency and alignment with project budgets
- Issue and manage purchase orders in accordance with company procedures
- Ensure proper documentation, approvals, and compliance with internal controls
- Maintain strong vendor relationships and negotiate pricing when appropriate
- Coordinate closely with project managers to support job timelines and budgets
- Review, code, and process vendor and subcontractor invoices
- Match invoices to purchase orders and receiving documentation
- Ensure accurate job cost allocation and compliance with company procedures
- Manage subcontractor compliance documentation (insurance, lien waivers, W-9s)
- Reconcile vendor statements and resolve discrepancies
- Oversee payment schedules to support cash flow management
- Prepare and submit customer invoices, including progress billings
- Track receivables, retainage, and change orders
- Monitor aging reports and follow up on outstanding balances
- Apply payments accurately and maintain detailed documentation
- Support project managers with billing documentation as needed
Profile
The successful candidate will have:
- 5+ yrs of Purchasing, Accounts Payable & Accounts Receviables experience
- Construction industry experience
- Construction software experience (Trimble Spectrum not required)
- Strong understanding of construction purchasing and accounting procedures
- Ability to commute into office 5 days per week
- Self-starter and go-getter with the initiative to take ownership of responsibilities
