Staff Accountant
This Staff Accountant role supports the Controller and Project Managers with budgeting, invoicing, and financial reporting. Responsibilities include subcontractor onboarding, using ProCore, preparing contracts, and managing project documentation.
Client Details
This is a full-service construction company specializing in both residential and commercial projects. They handle all phases of construction-from pre-construction planning to final closeout-with a focus on quality, efficiency, and client satisfaction.
Description
Report directly to the Controller and support Project Managers as needed
Manage subcontractor onboarding, including collecting W9s, Certificates of Insurance, and signed safety acknowledgments

Utilize construction management software (e.g., ProCore) to:
Maintain contact lists
Set up new projects
Create and issue Requests for Pricing and follow up on bids
Input budgets, receipts, and invoices
Generate subcontracts, change orders, and purchase orders
Track and update Certificates of Insurance
Prepare and update client contracts and budget amendments in line with project requirements
Provide accurate and timely financial reports and budgets to Project Managers and clients
Generate weekly Unbilled and Job Cost reports; review with Controller to monitor margins
Prepare client invoices and pre-billing reports for internal review
Manage closeout documentation for completed projects
Support internal and external audits by compiling required financial data
Maintain an organized digital filing system for all project and accounting documents
Assist with research, special projects, and permitting documentation
Handle multiple projects while maintaining confidentiality and attention to detail
Liaise with clients on special requests and manage specification documents ('spec book') for applicable projects
Profile
Familiarity with construction management software and tools
Understanding of general office systems, workflows, and administrative procedures
Strong time management skills with the ability to prioritize tasks and manage multiple projects simultaneously
High attention to detail and effective problem-solving abilities
Excellent written and verbal communication skills
Strong organizational and planning capabilities
Proficient in Microsoft Office Suite (Excel, Word, Outlook, etc.)
