Project Coordinator - Large Healthcare Projects in Boston

We are seeking a Project Administrator / Project Support Specialist to provide critical administrative and coordination support for a major healthcare development initiative. This role involves managing complex schedules, facilitating communication among senior stakeholders, and ensuring smooth project operations.

Description

  • Coordinate time-sensitive meetings and events across multiple organizations
  • Act as a professional point of contact for senior faculty, executives, and VIPs
  • Organize project tours and stakeholder events, including safety onboarding
  • Manage site access and vendor coordination for investigations and approvals
  • Maintain project administration tools and provide document control support
  • Assist with financial administration, including budget tracking and invoice reconciliation
  • Prepare and update client reports and meeting documentation

Profile

A successful Project Administrator should have:

  • Minimum 2 years of experience in administration or project coordination
  • Strong organizational skills and ability to manage competing priorities
  • Excellent communication skills and professional discretion
  • Proficiency in Outlook, Excel, PowerPoint, Teams, and Zoom
  • Experience working with contractors, architects, and engineers; healthcare exposure is a plus
  • Bachelor's degree in a relevant field preferred (or equivalent experience)
