Office & Facilities Manager
Our client is seeking a proactive, highly organized Office & Facilities Manager to oversee the daily operations of the Palm Beach office. This role is split between office administration and facilities management, and is pivotal in creating a productive, compliant, and welcoming work environment for all employees and visitors.

Description
Office Support
- Work closely with the Executive Assistant and partner with administrative support.
- Oversee administrative operations and serve as the primary point of contact for all office-related matters.
- Manage office supplies, equipment, and vendor relationships to ensure seamless functionality.
- Coordinate front-desk activities, including visitor reception, mail handling, and deliveries.
- Assist with on-boarding logistics and workspace setups for new employees.
- Organize company meetings, events, and in-office experiences to support a positive company culture.
- Ensure compliance with internal policies and procedures, including health and safety protocols.
Facilities Management
- Oversee the maintenance and repair of building systems, including HVAC, plumbing, electrical, and general infrastructure.
- Liaise with vendors, service providers, and contractors to ensure timely and cost-effective facilities support.
- Conduct regular inspections to identify and address safety or maintenance issues.
- Manage space planning and office layout modifications in response to team needs.
- Ensure compliance with local building codes, safety regulations, and emergency weather preparedness protocols.
- Track and manage facilities budgets, vendor contracts, and service level agreements.
Profile
- 5+ years of prior experience in office management, facilities management, or administrative support.
- Must have strong organizational & multitasking skills.
- Excellent written communication & interpersonal skills.
- Familiarity with local codes & vendor networks in Palm Beach, FL is a plus.
- Proficiency with Microsoft Office; experience with facilities software/tools is a plus.
- Must be able to work on-site in Palm Beach, FL.
