The Executive Assistant will provide high-level administrative support to senior leaders in a fast-paced financial services environment, handling complex calendars, travel, expenses, and correspondence. This role requires strong organizational skills, discretion, and the ability to act as a trusted liaison across teams and external partners.

Description

  • Manage complex executive calendars, schedule meetings, and coordinate logistics across multiple time zones.
  • Arrange domestic and international travel, including flights, accommodations, and itineraries.
  • Prepare, review, and edit correspondence, presentations, and reports with accuracy and attention to detail.
  • Process expense reports and track budgets in line with company policies.
  • Serve as a primary point of contact between executives, internal teams, and external stakeholders.
  • Organize and support board meetings, client presentations, and internal events.
  • Maintain confidential files and records with discretion and professionalism.
  • Anticipate executive needs and proactively resolve issues to ensure smooth daily operations.
  • Provide project support and assist with ad hoc initiatives as required.

Profile

  • Strong organizational and time-management skills to handle multiple priorities effectively.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills to interact with stakeholders at all levels.
  • Ability to work independently and maintain a high level of accuracy.
  • 3-6 years experience in providing administrative support within the business services industry is a plus.
  • A proactive approach to problem-solving and a strong sense of confidentiality.
