Bookkeeper/Admin Assistant
Client Details
My client is a growing biotechnology company dedicated to developing cutting-edge solutions rooted in scientific research. The company supports complex operations across research, development, and clinical activities.Description
1. Administrative Support
- Manage incoming mail, including sorting, scanning, and distribution
- Prepare and deposit checks
- Compile documentation to support tax filings (Sales/Use Tax and Commercial Rent Tax)
- Maintain tracking spreadsheets, such as inventory-in-transit and waybill logs
2. Accounts Payable (AP) Support
- Monitor and respond to accounts payable inquiries
- Assist with administration of AP and expense systems (Concur)
- Collect and maintain vendor documentation, including W-9 forms and banking details
- Coordinate internally to ensure timely invoice approvals
- Prepare and process ACH and wire payments based on approved instructions
- Send payment remittance notifications to vendors
- Maintain accurate vendor records in the ERP system
3. Accounts Receivable (AR) & Customer Support
- Issue and distribute customer invoices
- Provide customers with required company documentation and banking information
- Respond to routine, non-technical customer inquiries
- Perform basic collections follow-ups on outstanding balances
4. Tax & Compliance Support
- Prepare sales tax and commercial rent tax filings using established templates
- Assist with the preparation of Form 1099 filings
- Respond to customer requests for Certificates of Insurance (COIs)
5. Intercompany / Related-Party Support (Monthly)
- Gather related-party invoices and supporting documentation
- Coordinate approval workflows and prepare payment instructions
- Communicate with related parties to confirm balances
- Issue debit and credit notes and distribute remittance details
6. Transaction Processing & Data Support
- Enter and process routine transactions in the ERP system, including customer receipts and vendor payments
- Track daily cash activity, including AR/AP movements and cash balances
- Support credit card expense tracking and documentation
- Maintain organized and accurate accounting records
Profile
- Associate's or bachelor's degree
- Prior experience in administrative support, accounting support, or bookkeeping
- Strong attention to detail and excellent organizational skills
- Ability to accurately follow defined processes and templates
- Comfortable working with spreadsheets and basic accounting systems
- Strong written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines consistently
