Executive Assistant

Description
Administrative and Executive Support:
- Manage expense submissions, including processing in Concur and liaising with travel, accounting, and audit departments.
- Plan and coordinate meetings, events, and travel arrangements (domestic and international), including preparing detailed itineraries and materials.
- Organize, prepare, and print documents as needed, including PowerPoint presentations.
- Oversee compliance with internal policies, such as Travel & Expense guidelines.
- Perform general administrative tasks such as answering phones, filing, scanning, mailing, and creating and tracking expense reports.
Calendar and Meeting Management:
- Maintain multiple calendars in Microsoft Outlook, coordinating agendas and scheduling meetings, video/audio conferences, and meals.
- Anticipate needs for high-level visitors and ensure all logistics are arranged in advance.
- Take and prepare meeting minutes for scheduled and ad-hoc meetings.
Visitor Coordination and Client Interaction:
- Greet and assist guests, visitors, and clients with professionalism.
- Collaborate with internal team members and external clients as needed.
Additional Responsibilities:
- Coordinate special projects and ad-hoc tasks as assigned.
Profile
- Minimum of 5 years of experience in a corporate environment, preferably supporting executives. Experience in a trading floor or investment banking environment is a plus.
- Bachelor's degree required.
- Demonstrated ability to maintain confidentiality.
- Proficient in Microsoft Office Suite (Outlook, Teams, Word, Excel, and PowerPoint).
- Outlook/Teams: Manage complex calendars, create recurring appointments, and perform email blasts.
- Word: Create professional documents using features such as headers/footers, tables, and mail merges.
- Excel: Utilize basic functions and formulas to create and manage workbooks.
- PowerPoint: Edit and modify presentations.
- Strong organizational skills and attention to detail.
- Effective verbal and written communication skills, with the ability to draft correspondence requiring minimal editing.
- Proven ability to manage multiple tasks, adapt to shifting priorities, and work in a fast-paced environment.
- Self-motivated, proactive, and able to work independently or with minimal supervision.
- Strong interpersonal skills with a team-oriented mindset.
- French language skills are a plus but not required.
