Job Requirements of Executive Assistant:
Arrange complex travel logistics, including scheduling meetings, preparing detailed itineraries, and compiling necessary materialsProvide administrative support, including sales order entry and various clerical tasks
Manage the Co-President's calendar, ensuring priority is given to high-impact meetings and appointments
Serve as a key liaison between the Co-President, Executive Leadership Team, Senior Leadership Team, and external partners
Respond to inquiries, assess sensitive matters, and determine appropriate actions on issues with broad organizational impact
Plan, coordinate, and execute meetings, events, and special engagements
Act as the primary point of contact for the Co-President, handling emails, phone calls, and other communications
Monitor and replenish office supplies, collaborating with staff to maintain an efficient work environment
Draft, edit, and format professional documents, including correspondence, reports, and presentations
Lead and manage high-priority special projects from initiation through completion
Support office visits by internal and external guests, overseeing logistics such as visitor access, catering, meeting bookings, and restaurant reservations
Oversee email management for the Co-President, including inbox monitoring, prioritizing messages, drafting responses, and ensuring timely follow-up
Proactively streamline the Co-President's workflow by identifying efficiencies, implementing solutions, and anticipating needs before they arise

We are looking for a highly organized and adaptable Executive Assistant who thrives in a fast-paced, high-volume environment. This individual will provide direct support to a senior executive and collaborate closely with members of the sales team.

Based in Illinois, this company is one of the largest U.S. importers and distributors. Sourcing from nearly 25 countries, it supplies top restaurant chains, retailers, and foodservice providers.

Profile
● Bachelor's degree preferred but not required
● 3+ years of experience as an Executive Assistant
● Problem solving / Critical thinking mindset with attention to detail
● Exceptional organizational skills with the ability to prioritize and multitask effectively
● Demonstrated ability to work independently and follow through on assignments
● Experience with vendor management and procurement processes
