Legal Executive Administrative Assistant

This team is seeking a highly organized and detail-oriented Legal Executive Administrative Assistant to join their dynamic team. This role will provide high-level secretarial, technical, and organizational support to multiple attorneys and administrative staff. The ideal candidate is proactive, resourceful, and capable of managing competing priorities in a fast-paced, professional environment.

Description

  • Provide comprehensive administrative and secretarial support to a group of attorneys and legal staff
  • Prepare, format, and proofread legal documents, correspondence, presentations, and reports
  • Manage complex calendars, schedule meetings, coordinate travel, and handle expense reporting
  • Maintain and organize confidential files, records, and legal documents
  • Assist with the preparation of PowerPoint presentations and Excel spreadsheets for internal and client use
  • Track and follow up on deadlines, case milestones, and project deliverables
  • Coordinate with internal departments and external clients to facilitate communication and workflow
  • Support the Manager of Administrative Assistants with department-wide initiatives and special projects
  • Ensure adherence to firm policies, procedures, and professional standards.

Profile

  • Minimum of 5 years of experience in a legal or executive administrative assistant role, preferably within a global or large law firm
  • Strong proficiency in Microsoft Excel (pivot tables, data analysis, formulas) and PowerPoint (professional formatting, animations, templates)
  • Excellent written and verbal communication skills
  • High attention to detail with exceptional organizational and time-management abilities
  • Ability to work independently while managing multiple tasks and shifting priorities
  • Discretion and professionalism in handling sensitive and confidential information
  • Bachelor's degree or equivalent experience preferred.
