Legal Administrative Assistants Supervisor
This firm is seeking a skilled and dynamic Legal Administrative Assistant Supervisor to join their San Francisco office. This dual-role position requires a seasoned professional who will serve as the Executive Administrative Assistant to a busy team of 8-10 litigation attorneys while also supervising a team of 12 legal administrative assistants.

Description
Executive Administrative Support (50%)
- Provide executive-level administrative support to a team of litigation attorneys, including scheduling, travel arrangements, time entry, and expense processing
- Draft, edit, and format legal documents and correspondence
- Track deadlines, manage case calendars, and ensure attorneys are well-prepared for court appearances, depositions, and client meetings
- Handle confidential information with discretion and professionalism
- Coordinate with internal departments, clients, and external vendors as needed
Administrative Team Supervision (50%)
- Supervise, mentor, and support the San Francisco-based team of 12 administrative assistants
- Conduct regular check-ins, manage performance, and provide coaching and professional development opportunities
- Lead team meetings and act as the primary point of contact for administrative matters in the office
- Partner with Human Resources on performance concerns, conflict resolution, and employee relations issues
- Manage staffing coverage and workload distribution among the team
- Identify process improvements and support change management initiatives that enhance efficiency and service
Profile
- 7+ years of experience as a legal administrative or executive assistant, preferably within litigation
- 2+ years of management or team lead experience in a legal or professional services environment
- Strong understanding of legal administrative workflows, court filings, and legal terminology
- Exceptional organizational skills and the ability to multitask across competing priorities
- Professional judgment, discretion, and strong interpersonal skills
- Experience handling employee relations issues and working in partnership with HR preferred
- Proficiency in Microsoft Office Suite and legal timekeeping/billing systems
Job Offer
Work Schedule:
- Hybrid role: 4 days a week onsite in the San Francisco office, 1 day remote
