Office Manager/Executive Assistant

$20.00 - $21.00/Hour

This dual role will involve managing the day-to-day administrative functions of the office, along with supporting senior team members with executive assistance. The ideal candidate will be a proactive, self-starter who thrives in an organized and fast-paced environment.

Description

  • Serve as the first point of contact for the office, greeting employees and visitors with professionalism and enthusiasm.
  • Answer inbound calls and emails, ensuring they are directed to the appropriate internal or external contacts.
  • Oversee the office's day-to-day organization, ensuring the workspace is neat, functional, and well-maintained.
  • Monitor inventory levels for office and kitchen supplies, liaise with purchasing to ensure timely replenishment.
  • Accurately process and submit expense reports in a timely manner.
  • Manage and sort inbound mail, and coordinate with couriers for outgoing shipments.
  • Liaise with building management for any maintenance requests and keep employees informed of safety or building-related notices.
  • Provide executive support to senior team members, including calendar management and meeting coordination.
  • Coordinate and assist with both in-person and virtual meetings, ensuring all logistics are handled smoothly.
  • Perform various clerical and administrative tasks as needed to support the team's objectives.
  • Express interest in growing into a broader administrative role, with opportunities for customer vetting and ongoing monitoring.

Profile

  • Bachelor's degree and at least 3 years of experience in office management, executive assistance, or a related support role.
  • An Associate's degree with relevant experience may be considered.
  • Exceptional verbal and written communication skills.
  • Ability to work independently, stay organized, and proactively take initiative.
  • Strong relationship-building skills, with the ability to collaborate with colleagues and support staff both in-person and virtually.
  • Knowledge of French is optional but advantageous.
