HR Coordinator

The HR Coordinator provides administrative and project support to the Talent Acquisition and HR Business Partner teams to complete a full I-9 audit. They must operate with a high degree of confidentiality. Client Details

This non-profit is known for its work on issues including global warming, ecosystem restoration, oceans, and human health, using sound science, economics and law to find solutions.

Description

  • Audit, digitize and upload all paper based I-9 documentation to Workday, and TA Operations to ensure all documents are stored in one, easily accessible place.
  • Audit and upload all digital I-9 documentation for current and appropriate terminated staff to Workday.
  • Track and record any expired documentation including work authorizations and legal name changes.
  • Identify whether revivification's have been completed or are required for staff with temporary work authorization.
  • Create a record of audit that can be easily referred to for future audits.
  • Daily progress updates to Talent Acquisition and other relevant stakeholders.
  • Destroy paper files once uploaded to Workday using approved and compliant methods.
  • Responds effectively and in a timely manner to numerous stakeholders to answer questions and solve problems related to this project.
  • Participate in advancing the organizational effectiveness and culture goals, so people from all backgrounds and experiences feel connected, included, and empowered to address environmental and organizational challenges in ways that align with the company values.
  • Additional relevant responsibilities as assigned in support of the Human Resources team.

Profile

  • Bachelor's degree or equivalent work experience with a minimum of 2 years administrative support experience; experience in a human resources department preferred.
  • Experience required with current I-9 regulations and compliance.
  • Experience working with confidential files and strong ability to maintain confidentiality and exercise discretion.
  • Familiarity with Workday and E-Verify a bonus.
  • Excellent interpersonal and communication skills (written and oral).
  • Superior time management skills, including the ability to multi-task, prioritize, and meet deadlines in a fast-paced environment.
  • Detail-oriented with strong organizational and proofreading skills.
  • Proactive and works well under pressure.
  • Demonstrated self-awareness, cultural competency and inclusively, and the ability to work with colleagues and stakeholders across all cultures and backgrounds.
  • Ability to work independently and collaboratively as part of a team.
  • Proficient with MS Office (Word, Excel and PowerPoint).
