EA to Director of HR and GC
This role provides high‑level administrative support to the General Counsel and HR Director, managing complex scheduling, communications, travel, meeting logistics, and sensitive legal/HR documentation in a fast‑paced nonprofit environment. It requires strong organization, project management skills, discretion, and experience supporting senior leaders, ideally within law, government, or nonprofit settings.

Description
- Manage communications by screening, prioritizing, and responding to emails and phone calls on behalf of the General Counsel and HR Director.
- Coordinate complex calendars, schedule internal and external meetings, and ensure leaders are fully prepared with all required documents and materials.
- Organize and book travel, including flights, hotels, transportation, and oversee all related logistics.
- Plan and support meetings and events, including arranging conference rooms, food, and collaborating with IT/Operations for A/V needs.
- Maintain HR and legal documentation, manage shared electronic files, and uphold strict confidentiality when handling sensitive information.
- Manage legal and compliance tasks, such as collecting lobbying timesheets, preparing legal disclosure filings, and coordinating with databases like Salesforce or contract systems like Juro.
- Prepare presentations and documents, including drafting, formatting, proofreading, and compiling data or research using Excel and other tools.
- Track deliverables and deadlines, ensuring timely follow‑up on projects and priority initiatives.
- Process expenses, including expense reports for both executives and routing invoices or contracts for approvals.
- Provide general office support, such as reception coverage and assisting with organizational events.
Profile
The successful candidate is a highly organized, detail‑oriented professional with 5-7 years of experience providing executive‑level administrative support, ideally within law, government, nonprofits, philanthropy, or business. They excel at managing fast‑changing schedules, juggling multiple priorities, and maintaining structure in a fast‑paced environment while consistently delivering high‑quality work.Job Offer
