Accounting and Sales Support Specialist
This role involves maintaining accurate financial records in QuickBooks, managing billing and invoicing (including AIA contracts), and supporting the sales team with proposal preparation and database maintenance. The ideal candidate is detail-oriented, proficient in Microsoft Office, and experienced in QuickBooks, with strong organizational and communication skills.

Description
1. Financial Accounting
Maintain accurate financial records in QuickBooks, including data entry, account reconciliation, and financial reporting.
Support the preparation of financial statements and internal reports for management review.
2. Sales Support
Partner with the sales team to draft and format client proposals.
Record and track proposals within the company's quoting system.
Assist in building and maintaining sales and customer databases using Microsoft Access.
3. Billing & Invoicing
Oversee the billing process to ensure timely and accurate invoicing to clients.
Address and resolve billing inquiries and discrepancies in a professional and timely manner.
Manage billing procedures for AIA forms and contract-based invoicing.
4. Administrative Support
Serve as the first point of contact by answering and directing incoming calls.
Perform general administrative duties such as filing, data entry, and managing company documents.
5. Financial Documentation & Compliance
Maintain well-organized records of all financial transactions for audit and compliance purposes.
Profile
High School Diploma required; additional coursework in accounting or business is a plus.
Experience with QuickBooks and Microsoft Access is preferred.
Strong attention to detail and accuracy in handling financial data.
Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
Excellent written and verbal communication skills.
Well-organized with strong time management abilities.
Able to work both independently and collaboratively within a team environment.
Familiarity with AIA contract billing is a plus.
Previous experience in a similar administrative or accounting support role is preferred.
