Executive Assistant

This role requires a trusted partner who can manage dynamic calendars, coordinate internal and external communications, support executive initiatives, and ensure smooth day-to-day operations.

A leading global financial institution headquartered in Japan, this organization offers a broad range of financial services including banking, trust banking, securities, and asset management.

Description

Executive Support

  • Manage complex, fast-paced calendars, including scheduling high-priority meetings, leadership off-sites, and travel arrangements.
  • Serve as a key liaison, ensuring efficient communication and workflow between the Division Head, internal teams, clients, and external stakeholders.
  • Prepare executive briefing materials, meeting agendas, presentations, and reports.
  • Coordinate logistics for town halls, board meetings, client presentations, and other leadership engagements.
  • Maintain and update client-facing materials and pitch decks, ensuring accuracy and professionalism.

Operational & Project Coordination

  • Track key initiatives, deliverables, and deadlines; follow up on outstanding action items.
  • Assist with timely expense submissions, invoice processing, and vendor management as needed.
  • Provide support on confidential and strategic projects for the Division Head.

Communications

  • Draft, edit, and manage correspondence, memos, and internal communications with discretion and attention to tone.
  • Manage timely responses to emails, meeting requests, and inquiries on behalf of the Division Head.
  • Handle all sensitive information with the highest level of confidentiality and integrity.

Relationship Management

  • Cultivate strong working relationships across departments, with senior leadership, clients, and external partners.
  • Represent the Division Head professionally in all verbal and written communications.

Profile

  • 7+ years of experience supporting senior executives, ideally in a fast-paced, corporate or financial services environment.
  • Bachelor's degree preferred.
  • Strong command of Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and virtual collaboration tools (Teams, Zoom, Slack).
  • Familiarity with CRM systems and marketing material preparation.
  • Impeccable written and verbal communication skills.
  • Proven ability to manage confidential information with sound judgment and discretion.
