A leading financial services firm is seeking an Admin Assistant/Personal Assistant to provide support to a senior executive. This is a dynamic and visible role that requires exceptional organizational skills, sound judgment, and the ability to anticipate needs in a fast-paced, professional environment. This role follows a hybrid schedule in midtown Manhattan.

Client Details

Our client is a prominent investment firm. They have about 200 employees globally with headquarters in New York City. The Admin Assistant will support a high-profile executive at the firm. The Administrative Assistant manages complex scheduling, travel, and communications, ensuring everything runs smoothly behind the scenes. The role requires exceptional discretion, attention to detail, and the ability to handle sensitive information with complete confidentiality.

The Admin Assistant will operate in an extremely fast-paced, dynamic environment that values discretion and professionalism. The ideal candidate will have solid experience supporting senior executives or ultra-high-net-worth individuals.

This role follows a hybrid schedule with an office in midtown Manhattan.

This role requires extreme flexibility, so candidates must be prepared to handle urgent requests or changes at any time with the understanding that the job extends beyond typical office hours. Weekend work in the summer is required.












Description

  • Manage and coordinate the executive's complex calendar, scheduling meetings and appointments efficiently

  • Handle confidential correspondence, phone calls, and communications with discretion

  • Prepare and organize reports, presentations, and documents for meetings and events

  • Act as a trusted liaison between the executive, internal teams, and external contacts, anticipating needs and resolving issues proactively

  • Maintain flexibility to be available on weekends oruntraditional hours, promptly handling urgent requests and last-minute changes with professionalism and discretion
