Administrative Assistant III

Our client is seeking an experienced Administrative Assistant to support senior staff in its Investment & Corporate Banking division by coordinating travel, managing expense reports, scheduling meetings, and handling office communications and logistics. The ideal candidate has at least five years of administrative experience in the finance industry, strong skills in Concur and Microsoft Office, and the ability to manage multiple tasks in a professional, fast-paced environment.

Description

  • Travel Coordination - Arrange detailed travel plans for senior staff, including transportation, flights, and accommodations.

  • Expense Management - Prepare and submit accurate expense reports using Concur, follow up on missing receipts, and track reimbursement status.

  • Meeting Scheduling - Organize and coordinate meetings using Outlook, manage officer availability, and handle logistics such as guest passes and catering.

  • Communication Handling - Answer, screen, and direct phone calls professionally, liaise with internal and external stakeholders, and relay firm policies.

  • Office Support - Manage day-to-day administrative tasks such as ordering supplies, distributing mail, and supporting department needs as they arise.

  • Team Collaboration - Work closely with the administrative team, provide temporary support across the department, and maintain a positive, team-oriented approach.

Profile

The successful candidate for the Administrative Assistant role will be a highly organized, proactive professional with at least five years of administrative experienced in the finance industry. They will demonstrate strong proficiency in Concur and Microsoft Office (especially Outlook, Word, and Excel), and possess excellent verbal communication and interpersonal skills.

This individual is detail-oriented, discreet, and dependable, with the ability to manage multiple priorities under minimal supervision. They will be a team player with a consistently positive attitude, comfortable working in a corporate, fast-paced environment, and capable of interacting confidently with senior executives and external clients. Familiarity with corporate etiquette, a professional demeanor, and sound judgment are essential, and a college degree is a plus.
