Admin Assistant - Hybrid & Weekend Work - NYC - $115k to $135k
Our client is looking for an Administrative Assistant to support the Chief of Staff to an ultra-high-net-worth individual. This position is an exciting opportunity to work in a fast-paced, high-caliber environment. The Chief of Staff manages the day-to-day affairs for the UHNWI, and the Admin Assistant will support the Chief of Staff with administrative and organizational tasks.
Client Details
Our client is the family office of a confidential UHNWI. The Admin Assistant will report directly and work exclusively with the Chief of Staff, who serves as the primary liaison to the principal.
The Admin Assistant must be able to work in the Midtown Manhattan office three days a week. Weekend work is required every other weekend.
The Admin Assistant will manage a highly complex calendar, coordinate meetings and events, and draft and prepare correspondence and briefing documents for the Chief of Staff's review. The Admin Assistant will focus on information management, documentation prep, research, and special projects. They will also implement and maintain organization systems for documents, contacts, and schedules.
While the Admin Assistant will rarely interact directly with the principal, they will operate in a high-expectation environment that demands precision, discretion, and adaptability. The Admin Assistant will ensure that all logistical, administrative, and operational details are handled so the Chief of Staff can focus on strategic priorities for the principal.
Description
- Keep the Chief of Staff fully informed by organizing and summarizing key updates.
- Liaise with service providers and other vendors to ensure services for the principal are arranged to the highest standard.
- Process receipts, reconcile expenses, and track budgets for projects as directed by the Chief of Staff.
- Conduct research on locations, contacts, vendors, or topics relevant to meetings or projects.
- Support personal or philanthropic initiatives.
- Maintain systems for documents, contacts, and schedules.
Profile
- Administrative support experience preferably in financial services.
- Experience supporting C-suite executives, UHNWI, or in a family office setting.
- Demonstrated ability to handle confidential and sensitive information.
- Experience coordinating with a broad range of stakeholders, such as internal teams, external vendors, and high-profile contacts.
- Ability to work weekend shifts.
- Ability to go on-site in Midtown Manhattan three days a week.
