Administrative Assistant III
This role supports senior staff within the Investment & Corporate Banking division by managing travel, scheduling, expense reporting, and general administrative tasks in a fast-paced, professional environment. The ideal candidate is a detail-oriented team player with strong communication skills, extensive experience with Concur, and at least five years of administrative experience, preferably in the finance industry.

Description
Calendar Management: Coordinate and maintain complex schedules for senior executives, including organizing internal and external meetings across multiple time zones.
Travel Coordination: Plan and book domestic and international travel arrangements, including flights, hotels, ground transportation, and itineraries, ensuring cost-efficiency and alignment with company policies.
Expense Reporting: Prepare, process, and reconcile detailed expense reports using Concur, ensuring accuracy and timely submission in accordance with firm guidelines.
Meeting Support: Organize logistics for meetings, including agenda preparation, material distribution, room booking, catering, and technical setup (e.g., video conferencing tools).
Communication Liaison: Serve as a key point of contact between executives and internal/external stakeholders, managing correspondence with professionalism and discretion.
Document Management: Draft, edit, and format presentations, memos, and reports as needed, while also maintaining organized filing systems (digital and physical).
Office Coordination: Support broader team administrative needs, including ordering supplies, processing invoices, on boarding new hires, and assisting with team events or initiatives.
Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism, in line with the standards expected in a financial services environment.
Profile
The ideal candidate is a polished, detail-oriented administrative professional with 5+ years of experience supporting senior executives, ideally in finance or professional services. They are highly organized, proactive, and comfortable managing complex calendars, coordinating travel, and processing expense reports using Concur.
